What changes when you read every verbatim

By The VaultCX team

Manual verbatim coding does not scale, so most programmes sample: read 200 of the 8,000 comments, code the themes, generalise. That works for the themes that are already common. It systematically misses the ones that are rare, urgent, and expensive.

Rare and urgent are the same category

The comment describing a safety issue, a billing error affecting one product line, or a single branch behaving badly appears a handful of times in 8,000 responses. Sample 200 and you will probably not see it. Those are precisely the responses worth acting on.

Scoring every response changes the unit of work

When every open-text answer receives a sentiment score, extracted themes, a summary, a driver classification and a risk flag, the output stops being a theme report and becomes a queue. Strongly negative responses raise a ticket. A weighted risk score puts the most urgent customers on a severity board.

The team stops reading comments and starts working cases.

Themes still matter — they just stop being the deliverable

Aggregate theme and sentiment trends remain the right way to brief an executive. But they are a summary of work that already happened, rather than the only thing the programme produced.
